Co-op Guidelines

Welcome to the Weil-McLain Contractor Cooperative Advertising Program. This new program is designed to be simple to use, generate more sales for your company, and reduce the cost of doing business.

Complete the quick and easy registration process, continue to purchase Weil-McLain® boilers, furnaces and air conditioners from authorized distributors, and your company can qualify for reimbursements up to 50% for approved advertising expenses and receive assistance developing your marketing materials.

You must be accepted into the Contractor Locator Program to participate in the Contractor Co-op Program. If you are not already a participant in the Contractor Locator Program, please sign up now.

Manage your co-op account 24 hours a day by simply logging on to the Weil-McLain website to download logos and ad samples, review submitted purchases, determine your available co-op dollars, download and print co-op claim submittal forms, and check the status of refunds.

I. Eligibility
Contractors who participate in the Weil-McLain Contractor Co-op program must be approved to participate in the on-line contractor locator program, and are required to adhere to the terms and conditions outlined.

II. How Credits to Your Co-op Fund are Calculated
Co-op dollars are earned for purchases made from authorized Weil-McLain distributors between January 1 and December 31. The total annual boiler, furnace and air conditioner purchases must exceed 9 units to participate in the program:

Earn free Work Boots for every 7 Weil-McLain boilers, furnaces, or air conditioners purchased.

Unused co-op allowances cannot be carried over to the next year and no further credit will be available when the allowance is exhausted.

III. Qualifying Materials and Reimbursement Allowances
Specific guidelines vary by program. Please verify that your project will qualify before committing to purchase. Weil-McLain reserves the right to approve all commercials and/or advertisements prior to insertion, and retains the right to request change of content following such review.

A. Truck/Van Signage
i. The Weil-McLain® logo must be at least ½ the size of your company’s logo.
ii. If several manufacturers are jointly promoted, the Weil-McLain name and logo must be no smaller or less prominent than the name and logo of other brands.
iii. Weil-McLain will reimburse 50% of the actual cost of Weil-McLain’s occupied space, e.g., if Weil-McLain occupies 50% of the ad space, and the total ad cost is $2500, reimbursement would be $2500/2 = $1250 x .50 = $625.
iv. You must submit a claim form, vendor invoice for signage, and a photo of the truck.

B. Newspaper/Supplement/Magazine/Yellow Page Ads
i. Weil-McLain must be clearly identified with a minimum of four column inches devoted solely to Weil-McLain.
ii. If several manufacturers are jointly promoted, the Weil-McLain name and logo must be no smaller or less prominent than the name and logo of other brands, and at least ½ the size of your company’s logo.
iii. You must submit a claim form, a copy of the publication invoice which shows the ad size, frequency, local net rate, and a tearsheet showing the ad, newspaper name and date.

Outdoor or Office Building Signs/Billboards
i. The Weil-McLain logo must be at least ½ the size of your company’s logo.
ii. If several manufacturers are jointly promoted, the Weil-McLain name and logo must be no smaller or less prominent than the name and logo of other brands.
iii. Weil-McLain will reimburse 50% of the actual cost of Weil-McLain’s occupied space, e.g., if Weil-McLain occupies 50% of the ad space, and the total ad cost is $2500, reimbursement would be $2500/2 = $1250 x .50 = $625.
iv. You must submit a claim form, vendor invoice for signage, and a photo of the billboard.
v. Co-op dollars can be used to pay for sign printing and installation, but cannot be used to pay for repairs, maintenance or design.

Direct Mail
i. The Weil-McLain logo must occupy a minimum of 1”x1” or 5% of the advertising space, whichever is greater.
ii. Co-op advertising dollars can be used to pay for printing, list purchase and documented mailing costs.
iii. You must submit a claim form, net vendor printing invoice, and a sample of the piece.

Radio/Television
i. The ad must mention Weil-McLain at least twice in a :30 commercial, and a minimum of three times in a :60 commercial.
ii. In television advertising, the Weil-McLain name and/or logo must be displayed for at least 5 seconds in the video portion.
iii. You must submit a claim form, an original copy of the station invoice affidavit showing the product advertised, costs per spot, local rate, date of spots, number of broadcast spots, notarized script, and a copy of any television commercial on a VHS tape or DVD.

Trickets/Giveaways
i. Eligible giveaways include pens, refrigerator magnets, calendars, bags, and key chains.
ii. All giveaways must be pre-approved by your local sales rep or the Marketing Manager.
iii. You must submit a claim form, net vendor printing/manufacturing invoice, and a sample of the piece.

Apparel
i. Eligible apparel includes company work shirts, caps, jackets and gloves.
ii. Co-op dollars may be used to cover embroidery setup, embroidery, and the cost of the clothing.
iii. Logo usage and placement must be pre-approved.
iv. You must submit a claim form, net supplier and printing/manufacturing invoice.

Job Site Signage
i. Signage must be minimum 18"x24" and constructed of fluted corregated plastic or similar type material.
ii. Weil-McLain logo must be at least ¼ the size of your company logo.
iii. You must submit a claim form, net supplier invoice and picture of sign.

Business Cards/Letterhead/Job Quote Form 
i. The Weil-McLain logo must be of a readable size.
ii. Material must be printed by a commercial printer (e.g. Kinkos, QuickPrint, etc.)
iii. You must submit a claim form, net supplier invoice and a sample of the printed material.

Tradeshow/Community Expo Booth 
i. The Weil-McLain logo with the words "we install" must be included on the booth banner and/or booth wall. 
ii. Weil-McLain literature must be available for distribution (Weil-McLain will provide free of charge with a 7-day advance notice).
iii. You must submit a claim form, copy of the exhibit space agreement, anda copy of the final invoice from the show organizer.

Non-Permissible Advertising 
Examples of ads that do not qualify for co-op dollars are:
- Ads in school publications, yearbooks, Chamber of Commerce or community organization programs, police/fire department publicatins and church bulletins. 
- Contributions for raffle tickets, sporting tickets and memberships.
- Restaurant dinner placemats, table top ads or register receipts, trips and travel awards.
- Agency fees, creative fees, color separations, production charges, talent fees and public relations costs.

How claims for co-op dollars are processed
Weil-McLain will audit, verify and pay claims within 30 working days. Send your claim and required documentation to: Weil-McLain Contractor Co-op Program, 999 McClintock Drive, Suite 200, Burr Ridge, IL 60527.

We will determine whether your claim meets the program's requirements, and if your co-op fund has a sufficient balance to pay the claim in full or in part.

Reimbursement will be in the form of a check. Unused co-op allowances cannot be carried over to the next year and no further credit will be available when the allowance is exhausted. All claims must be submitted no later than 45 days after the close of the previous calendar year.

Revocation 
Weil-McLain reserves the right to refuse payment for non compliance with any of the terms and conditions of this program. Weil-McLain also reserves the right to review or cancel the program or any provisions thereof at any time with a 30-day written notice.
